Privacy principles

Here are the fundamental beliefs that drive our approach to data privacy.

  1. We believe your privacy is a human right and is not something to be held at ransom.
  2. We believe you own your personal data and digital self as much as your physical self, and you should hold absolute authority on how your data is shared and used.
  3. We believe your personal data should be used to empower and positively serve you.

 

Privacy you can understand.

Nobody reads, let alone understands, privacy policies. They are designed by lawyers, for lawyers and are perfectly crafted to give companies the authority to take as much data and information from you as legally possible. That’s not right, and we’re putting our foot down.

Privacy Policy

We respect your privacy and is committed to protecting it. This privacy notice describes the types of information you may be asked to provide when using Keyboard Extension product or the website www.keyboardextension.com, and our practices for using, storing, protecting, and disclosing that information.

 

Types of information

Profile information

You provide your email address in order to receive password for the first logon. It is also linked to your account. You may optionally add other information to your profile, such as name or address that link to your existing memberships and organization affiliations. Your name, billing address, and email addresses are stored on our servers as part of your profile. You have the ability to delete this data by requesting deletion of your Keyboard Extension account.

ID information

To provide secure autologin service to you, Keyboard Extension uses identity data from your phone/tablet (Keyboard Extension device) and your computer. It is not possible to have two auto logged active sessions under the same account. Log off manually if you prefer to enter your password every time you connect your phone to your computer. Usage information

App logins and interactions with your Keyboard Extension application are mandatory for the service to work.

Phone/tablet and Windows computer information

Phone/tablet/computer model, OS type, OS version, OS language, hardware settings, network settings, MAC address, device identifier and additional technical non-personal information as necessary for Keyboard Extension to operate our apps and services.

Diagnostic logs

Application logs including IP addresses, network requests made by the application, and crashes of the apps. Any debug logs are not collected unless your confirmed in written that we are permitted to collect such logs on a temporary basis.

Financial information

Organisation administrators provide their company credit card number and billing address.

 

When and how your information is used

Information you provide

Profile information you provide, layouts and plugins are stored on Glisense servers. As soon as Keyboard Extension app on your portable device connects to your Keyboard Extension app on your Windows computer, your account identity data is being passed over to the Authentication server at Glisense. If autologin is permitted you won’t need to do anything to authorise yourself, otherwise you will be required to enter login and password. As soon as you are authorised you can access your personal layouts, plugins and configurational data.

Certain number of layouts and plugins are available to every user (including not authorised) and being transmitted to the Windows application by default. We also provide your Windows app with latest versions of layouts and plugins related to the active application window on your computer. In order to achieve that we identify the executable file of the application and pass the identity to the Glisense server.

If you have agreed to share your debug logs, we will store and use it only for the purpose of fixing a bug and delete upon your confirmation or ticket expiry.

If you are an administrator, business or paying user, the credit card and billing address information you provide is used for the purposes of processing payment.

Information organisations provide about you

Organisations that use the Keyboard Extension service may provide to us your name, and email address when granting you access to the corporate. This data is owned by the organisation and subject to the organisation’s privacy and data use policies.

Data provided automatically

All other information classified as Usage information, Phone/tablet/computer information, and Error and Usage logs, is derived automatically when you use Keyboard Extension applications. Glisense limits this information, and the duration for which it is retained, to the minimum necessary to operate our services.

 

Why is this information relevant

Service operation

There are some core pieces of information that we need to make Keyboard Extension work. That includes the information in your user profile like your email address, and Windows application activity whenever you connect portable device app with Windows Keyboard Extension app. In the background, the Keyboard Extension app also needs some data to operate properly on your portable device and computer such as your phone/tablet/computer model and network settings.

Mobile app operation

If you are connected via the WiFi, all the data get transmitted through the WiFi router and your computer. It does not pass any data to the Internet unless you agreed to share your debug logs.

If you are connected via the Web server, all the data get transmitted through our proxy server at Glisense to your computer. We do not store such a data and do not intend to do so in future.

If you are connected via the Bluetooth, all the data get transmitted within the range of Bluetooth reception. It does not pass any data to the Internet unless you agreed to share your debug logs

Contacting you about the Keyboard Extension services

We may use your email address to inform you about the service you signed up for, such as letting you know about upcoming changes. We will also email you updates about service operation if you have opted to subscribe.

We will not send you email about any services other than the one you signed up for without your explicit consent.

Troubleshooting

When you contact Glisense, we keep a record of your communication to help solve any issues you might be facing. Providing feedback app crashes data helps us to troubleshoot. Before sending such a data you have an opportunity to see what is to be sent first. We also look at some other data to diagnose issues with the Keyboard Extension app including hardware settings, errors info and performance metrics, etc.

When interacting with our support staff, we will seek your consent before accessing any personal data or corporate data that you did not provide to us in your support request.

Security auditing

In order to prevent security incidents in the Keyboard Extension app and the website, and to investigate incidents after they have occurred, we retain IP addresses, activity in the app and website, and login attempts.

Product improvement

We analyse and process some data to make products and services better, including IP addresses (which tells us in what geographic regions people are using app), OS language, and OS type and version.

Payment processing

Keyboard Extension is free to install and use without access to personal data. See our tariff plans which require payment. We store payment details for the sole purpose of processing payments and subscription renewal.

 

Whom your information is shared with

We never sell or rent your personal information. In addition, we do not share or otherwise disclose such information except as described in this Privacy Policy.

Your employer or organisations you work for

If you use Keyboard Extension product as an employee or member of an organisation, we share only the information relevant to your activities within that organisation with its administrators. We never share any of your information that is not directly related to the organisation in question (for example, your activity as part of other organisations which may also use Keyboard Extension services).

Payment processors

We share payment card and other payment details provided by payee with our payment processors in order to facilitate payments to Glisense.

Email processors

In order to send you email related to Keyboard Extension, such as your temporary password email when you first sign up, we rely on email service providers to process and send these emails on our behalf. Our contracts with them prohibit sharing your email address and content with other third parties such as advertisers or marketing affiliates, or using it for any other purpose.

Other third party processors

We do not disclose your information to third parties but if such a need arise in future, we do so only after entering into a contract with the processor that describes the purpose of the sharing and requires the processor to both keep that information confidential and not use it for any purpose except performing the contract, helping to provide you the best Keyboard Extension service possible.

Law enforcement

We may also disclose your information if we are required to do so by a court order, law, or legal process, including to respond to government or regulatory requests. We will disclose no more than that portion of your information which we are legally obligated to disclose, and will use commercially reasonable efforts to obtain assurances from the applicable court or agency that your information will be treated with confidentiality.

You can elect to not provide some information

You don’t have to provide your email address or your name if you do not intend to create your layouts and plugins nor use services which require authentication.

While email address is optional for non-authorised usage, we will collect identity data in order to provide access to your own layouts and plugins as well as services which require authentication.

Your rights

You have the right to see the information we store about you

You have the right to ask for information we have about you, and how we use that information. Once we receive and verify your request, within 45 days we will disclose to you:

  • The categories of personal information we have about you
  • The sources of that information
  • Our purpose for that information
  • The categories of third parties with whom we share that information
  • The specific pieces of your personal information

You have the right to correct any inaccuracies in your personal information

You can update information in your Keyboard Extension profile, such as your name and address, from within the app and/or the website. To update other information about you, you can contact support@keyboardextension.com. We will honor your request to update your information unless we are required to keep the existing information for legitimate contractual or legal purposes.

If you believe that your employer or another organisation has inaccurate information about you, you can contact that organisation to update your information as the data controller. We will honor the controller’s request to update any information they control.

You have the right to have information about you deleted

You may request that we delete any information that we have received from you and retained, subject to certain exceptions. These exceptions include completing the transaction or providing the service you requested, complying with legal obligations, or detecting and preventing security incidents or illegal or fraudulent activity.

 

How we secure data

We use physical, technological, and administrative measures to secure your data.

 

Where we store data

We store data in data centers in the United Kingdom and Netherlands. Data transmitted between our servers and applications, may be cached temporarily during transit or locally on receiving devices only for the purpose of improving performance and reliability of the service.

When we make minor edits to this policy, we will make the changes on this webpage and describe the edits at the top of the page. For more extensive updates, we will send an email with details to the email address you have provided.
